Where inside Zoho CRM can I find Smart Prompt?

Smart Prompts are contextual nudges displayed by Zia in many places in Zoho CRM. You can see them: 
  1. In places with descriptive texts like description, notes, email compose windows, email reply window, and email templates.
  2. Near certain field values.

What are the capabilities of Smart Prompt?

Smart Prompt is a culmination of two individual AI models, Zia and ChatGPT, and each play a significant role in this collaboration. To understand the capabilities of Smart Prompts, let's first understand their functions.

Zia is Zoho's native AI model that is built to understand your CRM data, recognize patterns and come up with useful predictions, recommendations, and suggestions. ChatGPT, on the other hand, is an external AI model developed by OpenAI. It is a generative AI bot that processes and generates human-like content from its training data. It operates on an input-output basis, meaning that ChatGPT needs a prompt to generate output and Zia. Because it understands your business, it will suggest contextual prompts and ChatGPT will process and generate quick responses. This is the premise of Smart Prompt.

Capabilities:
Communication assistance: With respect to communication, Smart Prompt is available for emails and email templates. You can take Smart Prompt's help to
  1. Compose a new email
  2. Respond to an inbound email
  3. Translate email content
  4. Summarize the email
  5. Rephrase and refine your content
  6. Check for grammatical correctness

Productivity management: Using Smart Prompt, you can do the following activities and stay productive.
  1. Learn more about your prospects and customers
  2. Create data points of your notes for quick reference
  3. Summarize each of your notes
  4. Validate record information
    and so on.

Can I connect my personal ChatGPT with my CRM account?

No, enabling and disabling Smart Prompt can be done only by a CRM administrator. That said, only an administrator can connect their ChatGPT account and the same account will be used to generate response across the CRM organization.

How do I define the tone of my message?

The tone of the message is an influential factor in communication. It sets the context and intent of your message. Using Smart Prompt, you can craft or refine your content of your emails and campaigns, in the desired tone. You can choose to write or respond in the following tones: professional, casual, humorous, descriptive, narrative, or sarcastic. You can also determine the length of your text as short, long, or medium.
To define the tone, simply click on the settings options above your generated response.

From the list of styles, you can choose a tone and length of the message. Smart Prompt will regenerate the response as per the updated preference.

Some of my prompts won't return a response. Why?

The response you see in the Smart Prompt window is brought to you by ChatGPT. Although it's a powerful AI bot, the large amounts of data it has been fed does not encompass anything past 2021.. Additionally, ChatGPT is generative AI, so it works with data at hand and doesn't forage the internet to bring in responses. This is a limitation of ChatGPT. If your prompts seek personal information or information after 2021, ChatGPT might not be able to return responses.

Can Portal users access Smart prompt?

No, none of Zia's capabilities are currently extended for the portal users.

Can I use, share, and alter the response?

Yes, after the response is generated, you can edit, regenerate, change the length and tonality, and copy the output. You can repurpose the response in your emails or save as notes.
Here's how you can copy it. Simply click on the copy icon present above the generated response.


Will I be able to see the history of prompts and responses?

No, the response provided by Smart Prompt is a one time response that will be in display until the response is regenerated or closed. You cannot lookup your past prompts, responses, and conversations from within CRM.


Why my smart prompt stops working?

There could be a few reasons for this. One possibility is that you have reached the usage limitation of your free trial or paid plan. To check your OpenAI API usage, you can visit this link. Make sure to review your usage and see if you have exceeded any limits. Also do check the expiry date of your current plan.
