Setting Advanced CRM Analytics

The Advanced CRM Analytics (powered by Zoho Analytics) helps you to analyze CRM data and create insightful reports and dashboards for your business. This integration allows, the users to understand the data and make better decisions by making:
 
Combination charts: Combination of two or more type of charts. Users can combine bar, line, area, bubble and scattered in one chart. This chart is useful when users have a mixed type of data to represent.

Heat maps: Displays data values as colors inside a matrix. This is a two-dimensional grid chart, where each color represents the data. Users can also choose to derive the size and color intensity of each cell based on the data. This is useful to categorize and visualize data based on factors, such as volume of occurrence, intensity, performance scale (ex: bad to good) and others.

Bubble charts: Useful if users want to visualize data highlighting the magnitude or weight of a data point with sizing. They can use a bubble chart wherever a Scatter plot is used, with scattered points being replaced by bubbles. The size of the bubble will be determined by the data column dropped in the new Size shelf of the Chart designer.

Scatter plots: Used to plot and compare numeric values, such as scientific, statistical, and engineering data. It is generally used for comparison between two numerical axes with uneven intervals and ranges.

Geo map charts: A Geo Map chart is a map of a world, continent, country, state, or a city, with the data values assigned to specific regions through chart visualizations. Geo map charts analyze geo spatial data through the use of interactive visualization.

Web or Radar charts: Help in studying the comparison between different data series. It compares the values of several data series represented with data markers in proportion with a center point.

Trend analysis: Used to identify the trend present in the data. Users can predict the trend line for data in time or number series. Trend lines can be derived based on various mathematical models, such as Linear, Logarithmic, Exponential, Power, Polynomial and Auto.

This version is available for new users only. It will be available for existing users in three months time tentatively.

Users who are subscribed to the Basic or above plan in Zoho Analytics can access this feature.


Note
  • You can use CRM data from the Leads, Contacts, Accounts, Deals, Cases, Activities and custom modules and Users' details.
  • Zoho CRM users with an Administrator profile have permission to associate your CRM account with Zoho Analytics.
  • You can associate only a single Zoho Analytics account with Zoho CRM.
  • Any user with the Administrator profile can deactivate Advanced CRM Analytics.
  • Deactivating the Zoho Analytics account will also delete the data, reports and dashboards in Zoho Analytics.
  • Zoho CRM users cannot access the advanced reports and dashboards in Zoho Analytics without an active Zoho Analytics license.

Configure Zoho Analytics Integration

During sync the following changes will be seen in the new version:

  1. Modules which are organized and removed will not be available during sync. 
  2. Modules and fields for which a user does not have access permission will not be displayed during sync.
  3. Fields which are unused/deleted will not be displayed. 
  4. Custom fields will be available for sync.
To configure Zoho Analytics Integration
  1. Log in to Zoho CRM with Administrator profile privileges.
  2. Go to Setup > Marketplace > Zoho Advanced Analytics for CRM.
  3. In the Advanced Analytics for CRM page, click Get Started.
  4. In the  Zoho Analytics Configuration page, do the following:
    • Select the modules and the corresponding fields.
    • Select the Sync Option from the drop-down list and enter the time.
    • Click Save.
      You will receive an email after the CRM data is imported into Zoho Analytics.

Note
  • All the subsequent changes made to the records in Zoho CRM will be automatically synchronized with Zoho Analytics at the scheduled synchronization time.
  • The sync options Every 3 hoursEvery 6 hoursEvery 12 hours are available only if associated Zoho Analytics account is on the Standard Edition or above.
  • As for the Basic Edition of Zoho Analytics, only Daily and Manual sync options are available.

Activate Zoho Analytics Add-on

(Only for Zoho Analytics users using the Free Plan - 15 days Trial)

You can use the Advanced Analytics add-on to evaluate your CRM data and create reports and dashboards only if you are in the Zoho Analytics Free Plan with a 15-day trial.

To activate the Zoho Analytics license

  1. Click the Reports tab.
  2. In the Reports Home page, click the Advanced Analytics for CRM link.
    It will take you to Zoho Analytics.
  3. In Zoho Analytics, click Subscription > Upgrade.
  4. Choose the Basic Plan or above to upgrade.

Create Reports

Once the Advanced CRM Analytics is configured, you get access to 70 plus ready made reports and dashboards. In addition to this, you can also create reports as per your requirement, using the drag-and-drop report builder of Zoho Analytics. See Also Creating Ad-hoc Reports using Zoho Analytics

To view reports & dashboards

  1. Log in to Zoho CRM.
  2. Click Reports tab.
  3. In the Reports home page, click Advanced Analytics for CRM.

Share Zoho Analytics

The reports and dashboards created in Zoho Analytics, with the CRM data, will be accessible only to the administrator who configured the Zoho Analytics Add-on. You can however, share the reports with other Zoho CRM users (including other CRM administrators).

To share Zoho Analytics with Zoho CRM users

  1. Log in to Zoho Analytics.
  2. Open Zoho CRM Reports database.
  3. In the Zoho CRM Reports page, select the corresponding report, and click Share.

  4. Select the Share option as required.

Deactivate Advanced CRM Analytics

As an administrator, you can deactivate the Advanced CRM Analytics in Zoho CRM. Please note that on deactivating:

  • All the data, reports and dashboards created in your Zoho Analytics account will be deleted.
  • The Zoho Analytics account will NOT be automatically downgraded to the Free Plan. Whenever needed, you can downgrade it to the required plan.

To deactivate Advanced CRM Analytics

  1. Log in to Zoho CRM with Administrator profile.
  2. Go to Setup > Marketplace > Zoho> Advanced CRM Analytics.
  3. In the Advanced CRM Analytics page, click the Deactivate link.
  4. In the Deactivation of Zoho Analytics page, click Yes, I understand. Deactivate Now.
