Sync with Google Calendar

Synchronizing calendar entries of Google Calendar and that of the Zoho CRM Calendar is now made easy with the Google Calendar Synchronization feature. You can update the calendar entries in either Google Calendar or Zoho CRM and have them updated in both. If you delete the sync configurations and again synchronize the calendar events, then duplicate records will be created. In case of two-way sync, duplicates will be created in both Zoho CRM and Google Calendar. You can also automatically block time in Zoho CRM calendar based on your meetings in google calendar.

  2. In case of unavailability sync, if the sync is deactivated then all unavailable slots synced to CRM would also be deleted and no duplicate records will be created when sync is enabled again.
  3. You must set reminders on the desired platform, either in CRM or Google, as reminders do not sync between platforms.

Permission Required

Users with the Sync with Google Calendar permission can access this feature.

 
Note: You should also have the profile permissions for Sync with Google Calendar and the Activities tab, i.e. ViewCreateEdit and Delete permissions.

To configure synchronization settings

  1. Log in to Zoho CRM.
  2. In Zoho CRM, go to Setup > Marketplace > Google.
  3. On the Calendar tab click Authenticate Google Calendar.

  4. Log into your google account and allow the necessary permissions in the new tab.
  5. On the Calendar Sync Configuration pop-up do the following:

    1. Select the Sync Calendar from the drop-down list.
    2. Choose any one of the SyncOptions:
      1. Two-Way Sync
      2. One-Way: Zoho CRM Calendar to Google Calendar
      3. One-Way: Google Calendar to Zoho CRM Calendar
  6. Toggle the option to automatically block time in Zoho CRM calendar based on meetings in Google calendar.

    Select upto 5 calendars from the multi-select picklist. Bookings in these calendars will be checked to block time slots in your Zoho CRM calendar.

  7. Click Save.
Note:
  • For both 1-way or 2-way synchronization for the first time, 5000 calendar entries for the past 3 months, from Google Calendar are synchronized with Zoho CRM. For the consecutive syncs, maximum 500 entries will be synchronized.
  • When you add an event in Zoho CRM, it will be synchronized instantly but events from Google Calendar will be synchronized every few minutes.
  • If you delete the sync configurations and again synchronize the calendar events, then duplicate records will be created. In case of two-way sync, duplicates will be created in both Zoho CRM and Google Calendar.
  • Events added from Google Calendar will be added under the All Events list view in Zoho CRM.
  • Only the Calendars for which you have the Read and Write permission will be listed in the Google Calendar drop-down list.
  • Events with no title in Google Calendar will be added with the Subject as " Not Provided " in CRM.
  • We do not support the synchronization of recurring events.
  • In case you have a slot blocked in your google calendar and the unavailability sync is turned on for the specific calendar, it will be shown unavailable in Zoho CRM calendar.
  • When you delete an unavailable slot in Zoho CRM calendar after it got synced from Google calendar, it will just be removed from CRM and the original event in google will not be affected.
  • Events that are marked as "Free" by the user are not synced with Zoho CRM. This behavior ensures that only events marked as "Busy" or with other statuses are included in the synchronization process.

To deactivate the calendar synchronization
  1. Log in to Zoho CRM.
  2. In Zoho CRM, go to Setup Marketplace > Google Calendar.
  3. In the Calendar Synchronization page, click the Deactivate link.
